By contacting us, using our services or visiting our website, which is owned and controlled by us ("our site"), you are accepting and consenting to the practices described in this policy unless you inform us otherwise.

Information you give us

You may give us information about you by filling in forms on our site or by corresponding with us by phone, e-mail or otherwise. This includes information you provide if you register to use our site, subscribe to our service, participate in discussion boards or other social media functions on our site, enter a competition, promotion or survey, and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, date of birth, financial information; personal description; dietary requirements; medical conditions; allergies; dependants personal information, next of kin details, employment status/history.

Information we collect about you

With regard to visits to our site we may automatically collect the following information:

• technical information, including the Internet Protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;

• about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

With regard to visits to our premises we may automatically collect the following information:

• attendance – for example how frequently you use your membership, your arrival/departure date and time;

• activities participated in and equipment/facilities used; and,

• data from our CCTV system in use throughout the premises.

Information we receive from other sources

We may receive information about you from third parties such as professional fundraising organisations or your employer. When that data is collected from you, you should be informed by those third parties at that stage that it may be shared internally by us and combined with data collected from multiple sources.

We also work with third parties (including, for example, business partners, sub-contractors, advertising networks, analytics providers, search information providers) and may receive information about you from them.

Uses made of the information

We use information held about you in the following ways:

Information you give to us.

We will use this information to:

• notify you about changes to our service;

• ensure that content from our site is presented in the most effective manner for you and for your device.

Where you have indicated to us that you are happy for us to do so, we may also use this information:

• to provide you with information about other services we offer that are similar to those that you have already enquired about or receive from us; and

· our suppliers and sub-contractors (including, but not limited, to third party booking sites e.g. booking.com, hitched.com etc.) for the performance of any contract we enter into with them to allow us to provide services to you, and only where they are under a duty to deal with your personal data in accordance with the Data Protection Act 1998; and

· analytics and search engine providers that assist us in the improvement and optimisation of our site.

We will disclose your personal information to third parties:

· In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.

· If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or terms and conditions of supply of services and other agreements; or to protect the rights, property, or safety of China Fleet Country Club Limited, our customers, or others. Where we store your personal data

The data that we collect from you may be transferred to, and stored at a destination outside the European Economic Area ("EEA"). Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. • Right to Erasure – that we erase all data we hold about you, if the data is no longer being used for the purposes you have consented to or if you revoke your consent as above.

• Right to Data Portability – to easily copy or transfer the data we hold about you from us to another service provider.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. Data retention

We will not store your data for any longer than is necessary. If you are a user of our services, then your information will be held for as long as you continue to use our services.

If you cease to use our services, your personal data will be anonymised for statistical purposes and then archived within 12 months of the date you stop using our services.

Introduction
We are committed to ensuring that any personal data we hold about you and your child is protected in accordance with data protection laws and is used in line with your expectations.

This privacy notice explains what personal data we collect, why we collect it, how we use it and how we protect it.

What personal data do we collect?
We collect personal data about you and your child to provide care and learning that is tailored to meet your child's individual needs. We also collect information in order to verify your eligibility for free childcare as applicable.

Personal details that we collect about your child include:
 your child's name, date of birth, address, health and medical needs, development needs, ethnicity and any special educational needs

Where applicable we will obtain child protection plans from social care and health care plans from health professionals.

We will also ask for information about who has parental responsibility for your child and any court orders pertaining to your child.

Personal details that we collect about you include:
 your name, home and work address, phone numbers, emergency contact details, and family details

This information will be collected from you directly in the registration form.

If you apply for up to 30 hours free childcare, we will also collect:

 your national insurance number or unique taxpayer reference (UTR), if you're self-employed. We may also collect information regarding benefits and family credits that you are in receipt of.

Why we collect this information and the legal basis for handling your data

[I/we] use personal data about you and your child in order to provide childcare services and fulfil the contractual arrangement you have entered into. This includes using your data to:
 contact you in case of an emergency
 to support your child's wellbeing and development
 to manage any special educational, health or medical needs of your child whilst at [my/our] setting
 to carry out regular assessment of your child's progress and to identify any areas of concern
 to maintain contact with you about your child's progress and respond to any questions you may have
 to process your claim for up to 30 hours free childcare (only where applicable)
 to keep you updated with information about our service

With your consent, we will also record your child's activities for their individual learning record. This may include photographs and videos. You will have the opportunity to withdraw your consent at any time, for images taken by confirming so in writing.

We have a legal obligation to process safeguarding related data about your child should we have concerns about their welfare. We also have a legal obligation to transfer records and certain information about your child to the school that your child will be attending (see Transfer of Records policy).

Who we share your data with

In order for us to deliver childcare services we will also share your data as required with the following categories of recipients:
 Ofsted – during an inspection or following a complaint about our service
 banking services to process chip and pin and/or direct debit payments (as applicable)
 the Local Authority (where you claim up to 30 hours free childcare as applicable)
 the government's eligibility checker (as above)
 our insurance underwriter (if applicable)
 our setting software management provider (if applicable)
 the school that your child will be attending

We will also share your data if:
 we are legally required to do so, for example, by law, by a court or the Charity Commission;
 to enforce or apply the terms and conditions of your contract with us;
 to protect your child and other children; for example by sharing information with social care or the police;
 it is necessary to protect our/or others rights, property or safety
 we transfer the management of the setting, in which case we may disclose your personal data to the prospective buyer so they may continue the service in the same way.

We will never share your data with any other organisation to use for their own purposes

How do we protect your data?
We protect unauthorised access to your personal data and prevent it from being lost, accidentally destroyed, misused, or disclosed by:

•Parents fill in registration forms• We read any correspondence in relation to a child and note any allergies, dietary requirements, other medical conditions and consents of photos and outings in the 'medication & consent folder'
• These confidential forms are then filed in a lockable cabinet, in the office, which is locked when not in use
• Registration forms are refreshed every 12 months, all old forms are shredded
• We retain children's records for three years after they have left the setting, except records that relate to an accident or child protection matter which are kept until the child reaches the age of 21 years or 24 years respectively. These are kept in a secure place
• All old records are shredded

How long do we retain your data?
We retain your child's personal data for up to 3 years after your child no longer uses our setting, or until our next Ofsted inspection after your child leaves our setting. Medication records and accident records are kept for longer according to legal requirements. Your child's learning and development records are maintained by us and handed to you when your child leaves.

In some instances (child protection, or other support service referrals) we are obliged to keep your data for longer if it is necessary to comply with legal requirements (see our Children's and Provider Records policies).

Your rights with respect to your data

You have the right to:
 request access, amend or correct your/your child's personal data
 request that we delete or stop processing your/your child's personal data, for example where the data is no longer necessary for the purposes of processing; and
 request that we transfer your, and your child's personal data to another person

If you wish to exercise any of these rights at any time or if you have any questions, comments or concerns about this privacy notice, or how we handle your data please contact us. If you have continue to have concerns about the way your data is handled and remain dissatisfied after raising your concern with us, you have the right to complain to the Information Commissioner Office (ICO).
